Administrative Support

The Department of State (DOS) created the Managing for Results (MfR) framework to facilitate the alignment in policy priorities, strategic responses, budget planning, and performance management between the Department and the U.S. Agency for International Development. The framework provides bureaus and offices with an integrated, multi-year planning and budgeting process to link strategy and resources to support program activity with strengthened performance management and evaluation.

IDS International is a sub-contractor on an upcoming indefinite delivery indefinite quantity contract providing monitoring and evaluation services to the DOS, which serves to fulfill the Department’s evaluation policy and other MfR requirements. IDS plays an instrumental role in providing the Department’s regional, functional, and management bureaus at headquarters and overseas with a wide range of professional design, evaluation, performance monitoring, capacity building, analysis, result dissemination, and implementation plans. IDS is seeking candidates for the Administrative Support positions at Senior, Mid, and Junior levels.

Responsibilities:

  • Responsible for implementing administrative processes; applying the rules, regulations, and procedures of the Contractor and DOS; preparing necessary documentation, review, and calculation to ensure compliance with the government regulations
  • Coordinate all logistics, staff transportation and other travel related-tasks, staff events, maintenance of facility and equipment, and vendor liaison and negotiation support
  • Ensure office procedures are kept up-to-date and communicated to staff
  • Support the distribution of cell phones, computers, email accounts, access keys and ensures all property is collected and returned upon completion of assignment
  • Provide regular updates of all planning processes and practices for project activities
  • Support Communications team with scheduling and preparing team meetings, managing communications services request, backstopping email marketing, and social media networking and engagement, and other tasks as needed
  • Maintaining resource inventory for program initiation and implementation, which could include printing materials, purchasing supplies, and tracking orders
  • Help with onboarding of staff and consultants; manage the consultant agreement and invoicing processes; ensure consultant biodata information is accurate and up-to-date

General Qualifications:

  • Demonstrated experience in supporting finance, procurement, operations, administration, logistics and human resource tasks
  • must be attentive to detail, highly organized, flexible and self-motivated with excellent communication skills in written and oral communication
  • Ability to organize, manage, prioritize, and follow through on multiple tasks in a fast-paced, deadline-oriented environment
  • Previous experience in working with and knowledge of the DOS is preferred
  • Fluency in written and spoken English is required; additional foreign language proficiency is a plus

Senior Level:

  • University degree in Business Administration, International Relations, Statistics, or a related field with at least 6 years of relevant experience in administration and program management

Mid Level:

  • University degree in Business Administration, International Relations, Statistics, or a related field with at least 4 years of relevant experience in administration and program management

Junior Level:

  • University degree in Business Administration, International Relations, Statistics, or a related field with at least 2 years of relevant experience in administration and program management
